Proposal Due Date: April 15, 2025
1. Introduction
Clarkston School District seeks proposals from qualified school photography vendors to provide high-quality photography services for students and staff across all district schools. The selected vendor will be responsible for capturing and delivering individual student portraits, class photos, staff photos, sports team photos, and optional event photography services.
2. Scope of Work
The selected vendor will be expected to provide the following services:
Individual student portraits for school IDs and yearbooks.
ID cards to include the District’s Standard Response Protocol* printed on the backside (*include fee in your proposal).
Class group photos.
Staff portraits.
Staff composition board.
Sports team photography (fall, winter, and spring sports).
Optional services, including but not limited to:
Club and extracurricular group photos.
Event photography.
Re-take sessions.
Secure online ordering system for parents and guardians.
High-quality digital images for school records.
Flexible scheduling to accommodate multiple school sites.
Efficient delivery of prints and digital files.
3. Vendor Qualifications
Vendors must demonstrate the following:
Experience in providing school photography services for K-12 schools.
Capability to manage high-volume photo sessions efficiently.
Secure and user-friendly online ordering system.
Ability to provide customer support to parents, students, and staff.
Compliance with all relevant privacy and student data protection regulations.
Flexibility to accommodate school-specific requirements.
4. Proposal Requirements
Interested vendors should submit a proposal that includes the following information:
Company background and experience.
Description of photography packages and pricing.
Sample contract with terms and conditions.
Timeline for service delivery and turnaround times.
Description of the ordering process and customer service support.
Details on any additional services offered.

5. Selection Criteria
Proposals will be evaluated based on the following criteria:
Experience and past performance in school photography services.
Quality and affordability of photography packages.
Customer service and ease of ordering.
Ability to meet scheduling and delivery deadlines.
References
6. Contract Term:
The contract will commence on May 1, 2025, and extend through June 30, 2029, covering the 2025-2026, 2026-2027, 2027-2028, and 2028-2029 school years. The selected vendor will be expected to meet all contractual obligations and maintain a high standard of service. The district reserves the right to terminate the contract if the services provided are deemed unsatisfactory or fail to meet the requirements outlined in the agreement.
